Terms & Conditions

Last update:

These Terms & Conditions govern the website, branding, marketing, advertising and related digital services provided by SYSFLO (“we”, “us”, “our”) to any business or individual (“you”, “your”) who engages us for a SYSFLO system, an individual service, a Monthly Plan or a Partnership project. By paying a deposit or instructing us to begin work, you agree to these terms.

1. Our Systems & Services

We offer three fixed-scope systems, each described on our website with its price, deliverables and timeline at the time you buy:

  • Quicklaunch – a tailored marketing strategy and offer, a high-converting sales page, and a Google Ads campaign set up and managed for 30 days, with a £500 ads budget included.
  • Business Pro – everything in Quicklaunch, plus a professional website (up to 10 pages), service landing pages, logo and brand identity, an on-location photo shoot, Google Business Profile and Maps set-up and business email addresses, with a £1,000 ads budget included.
  • Business Ultra – everything in Business Pro, plus a larger website (up to 20 pages), business video with aerial drone shots, online booking, CRM with email and SMS automation, live chat and chatbot, secure online payments and a full brand kit, with a £1,500 ads budget included.

Every service inside a system can also be bought on its own, and our Partnership option covers work scoped and quoted individually (for example e-commerce or done-with-you implementation).

Prices on our website are correct at the time of publishing and may change. Your price and scope are confirmed with you in writing before work starts, and that is the price you pay for the agreed scope. There are no hidden fees.

2. Deposits & Payment

A deposit secures your start date and is required before work begins. The remaining balance is due at launch, unless we agree a different payment schedule with you in writing. Monthly Plans are billed monthly in advance.

We may pause work, or delay launch, if an invoice is overdue.

3. Included Ads Budget

Where a system includes an ads budget, that amount is part of the system price and is spent on your advertising campaigns. It has no cash value and is not refundable once spent. Any advertising spend beyond the included budget is your responsibility and is paid directly to the advertising platform, unless we agree otherwise.

4. Timelines

Typical times to go live are:

  • Quicklaunch: 7 working days
  • Business Pro: 2 weeks
  • Business Ultra: 4 weeks

Timelines start once your deposit has been received and depend on you providing content, feedback, approvals and access promptly. Partnership and individually quoted work is timed separately and confirmed with you before we start.

5. Your Approval

Before we build, we share the planned structure, copy and design with you for review. Building starts once you approve it. Changes requested after approval that go beyond the agreed scope may be quoted separately.

6. Ownership

Once you have paid in full, your website, the content we create for you, and your domain are yours, always. Content you provide to us (text, images, logos and business information) remains yours at all times.

Some elements of a website, such as themes, plugins, fonts and stock images, are licensed from third parties rather than owned. We make sure these are properly licensed for your use, and they remain subject to their own licence terms.

Unless you tell us otherwise, we may show the work we do for you (for example your website, logo or photography) in our portfolio and marketing.

7. Hosting & Monthly System Care

Monthly system care keeps your website hosted, updated and looked after by us. There is no lock-in: if you decide to stop, we will move your website to hosting of your choice or hand you a full copy of the site files, so you are never tied to us.

8. 30-Day Support After Launch

Every system comes with 30 days of free support after launch. If something we agreed to deliver is not working as agreed, we will fix it at no extra cost during that period.

This covers fixing agreed deliverables. It does not cover new features, changes of scope or work outside what was agreed, which we can quote separately.

9. Monthly Plans

Alongside our systems, we offer optional Monthly Plans, including system care (hosting & maintenance), growth management, systems management and ads management. Plans can be taken individually or combined, whichever system you have. Current prices are shown on our website or confirmed in your quote. Ads management is charged as a percentage of your monthly ad spend.

Every active management plan includes a monthly one-hour marketing advice call.

No lock-in: Monthly Plans have no minimum term. You can cancel at any time by letting us know in writing (email is fine). Cancellation takes effect at the end of the month you have already paid for, and we do not charge any cancellation fee. Some services, such as growth and ads management, usually need a few months to show their full results, so we will tell you honestly what to expect, but the decision to continue is always yours.

10. Refunds & Cancellation

Deposits cover the time and resources we commit to your project from the start and are non-refundable once work has begun. If you cancel a project before launch, you pay for the work completed up to that point and any ads budget already spent. If you are unhappy with delivered work, we will work with you to put it right under our 30-day support (Section 8).

This does not affect your statutory rights, including any cancellation rights you may have as a consumer under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

11. Third-Party Costs & Platforms

Unless included in your system or agreed otherwise, advertising spend, domain renewals, and third-party software or subscriptions (for example booking, CRM or payment tools) are separate from our fees and are your responsibility.

Our work relies on third-party platforms such as Google, Meta, hosting providers and software tools. We are not responsible for their availability, policy changes, account suspensions or pricing changes, although we will help you deal with any issues that arise.

12. Your Responsibilities

You agree to provide the content, feedback, approvals and account access we reasonably need, and to make sure that any material you give us is accurate and that you have the right to use it. Delays in providing these may move your launch date.

13. Results & Limitation of Liability

We build every system to win customers and we take reasonable care in everything we deliver. However, we cannot guarantee specific outcomes such as search rankings, ad performance, lead volumes or revenue, as these depend on factors outside our control.

Our total liability for any claim arising from our services is limited to the amount you paid for the system, service or plan concerned. Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be limited under UK law.

14. Data Protection

We handle personal data in line with UK data protection law (UK GDPR and the Data Protection Act 2018). Where we process your customers’ data on your behalf (for example through a website form, booking system or CRM we set up for you), we do so only on your instructions. More detail is in our Privacy Policy.

15. Changes to These Terms

We may update these terms from time to time to reflect changes in our services or the law. The version in effect when you engage us applies to your project.

16. Governing Law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute.
