These Terms & Conditions govern the provision of website design, branding, marketing, and related digital services by SYSFLO (“we”, “us”, “our”) to any client (“you”, “your”) who engages us for a one-time system package, a monthly plan, or a custom-scoped project. By instructing us to begin work, you agree to these terms.
1. Our Systems & Packages
We offer three fixed-scope systems — Foundation, Growth, and Full System — each described with a fixed price and set of deliverables on our website at the time of purchase. We also offer a Custom option for businesses whose needs fall outside the fixed systems, which is scoped and quoted individually.
Prices shown on our website are correct at the time of publishing and may change. Your exact quote is confirmed at consultation and, once agreed in writing, is the price you pay for the agreed scope — no hidden fees.
2. Deposits & Payment
A deposit is required to secure your start date and begin work. The remaining balance is due on completion of the project or at launch, whichever is agreed with you in advance.
Full site files and assets are made available to you on request after final payment has been received.
3. Timelines
Typical turnaround times are as follows, though actual delivery depends on how quickly you provide content and feedback:
- Foundation: 1–2 weeks
- Growth: 2–4 weeks
- Full System: 3–6 weeks
Custom projects are timed individually and confirmed at consultation.
4. Ownership
Your domain name and all content you provide to us (text, images, business information) remain your property at all times.
Website hosting and technical site management remain with SYSFLO unless otherwise agreed with you in writing. Should you wish to move hosting elsewhere, full site files and assets will be provided to you on request, once final payment has been received.
5. Satisfaction Guarantee
Every project includes 30 days of free support following launch. If any agreed feature or deliverable isn’t working as intended, we will fix it at no extra cost, with no limit on the number of fixes, for the full 30-day period.
This guarantee covers correcting agreed deliverables — it does not cover new feature requests, scope changes, or work outside what was originally agreed, which may be quoted separately.
6. Monthly Plans
In addition to one-time system packages, we offer optional recurring Monthly Plans covering hosting & maintenance, growth management, systems management, and paid ads management. These can be purchased individually or in any combination, and are not dependent on which one-time system package you chose.
Every active Monthly Plan includes a complimentary one-hour marketing advice call each month.
Minimum term & cancellation:
Monthly Plans have a minimum term of 3 months from the start date. After the minimum term, you may cancel at any time by giving us 30 days’ written notice.
7. Refunds
Deposits are non-refundable once work has commenced, reflecting the time and resources committed at the start of a project. Where a client is dissatisfied with delivered work, our 30-day satisfaction guarantee (see Section 5) applies in place of a refund, and we will work with you to resolve the issue directly.
This does not affect your statutory rights under UK consumer protection law, including your rights under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 where applicable to services purchased at a distance.
8. Third-Party Costs
Any advertising spend (for example, Google Ads or Meta Ads budgets), domain registration fees, or third-party software subscriptions required for your project are separate from our fees and are your responsibility unless otherwise agreed.
9. Client Responsibilities
To meet agreed timelines, you agree to provide requested content, feedback, and access (e.g. to existing accounts or platforms) in a timely manner. Delays in providing these may extend delivery timelines accordingly.
10. Limitation of Liability
We take reasonable care in delivering our services but do not guarantee specific business outcomes (such as search rankings, lead volumes, or revenue), as these depend on factors outside our control. Our liability for any claim arising from our services is limited to the amount paid by you for the relevant package or plan.
11. Data Protection
We handle any personal data you provide in accordance with UK data protection law (UK GDPR and the Data Protection Act 2018). Further detail is available in our separate Privacy Policy.
12. Changes to These Terms
We may update these terms from time to time to reflect changes in our services or legal requirements. The version in effect at the time you engage us will apply to your project.
13. Contact
For any questions about these terms, please get in touch via our website contact form or the details provided at consultation.
